Responsibilities
Tasks
– Arrange and co-ordinate seminars, conferences, etc.
– Coordinate the flow of information within the team
– Open and distribute mail and other materials
– Plan and organize daily operations
– Record and prepare minutes of meetings, seminars and conferences
– Determine and establish office procedures and routines
– Schedule and confirm appointments
– Compile data, statistics and other information
– Respond to employee questions and complaints
– Order office supplies and maintain inventory
– Arrange travel, related itineraries and make reservations
– Set up and maintain manual and computerized information filing systems
– Type and proofread correspondence, forms and other documents
– Perform data entry
– Provide customer service
– Perform basic bookkeeping tasks
– Read blueprints to determine work requirements
– Review and proofread documents and correspondence to ensure compliance with legal procedures and grammatical usage
– Prepare financial statements and reports
– Coordinate the flow of information
– Liaise with management, engineers and other trades
– Open and distribute regular and electronic incoming mail and other material
– Maintain filing system
– Prepare and key in correspondence and legal documents
– Label, file and retrieve documents
