Vitality Integrative Health is a multidisciplinary clinic established in 2018 with two locations across Richmond BC, offering Active Rehabilitation (Kinesiology), Acupuncture, Chiropractic Care, Clinical Counselling, Physiotherapy and Registered Massage Therapy (RMT). We are looking for an Office Manager to join our team.

Job Duties and Responsibilities:

Administrative Management:

·        Oversee the daily operations of the front office, including reception, scheduling, and patient flow.

·        Manage electronic health records (EHR) and ensure accurate data entry and record-keeping.

·        Develop and implement office policies and procedures to improve efficiency and service quality.

Patient Relations:

·        Ensure a welcoming and professional environment for patients.

·        Address patient inquiries, complaints, and concerns promptly and effectively.

·        Coordinate patient appointments, follow-ups, and referrals.

Financial Management:

·        Manage accounts receivable and payable, and oversee collections.

·        Prepare financial reports and assist with budgeting.

Human Resources:

·        Train and supervise office staff, and perform evaluations.

·        Schedule staff shifts and ensure adequate coverage.

·        Handle employee relations and ensure compliance with labour laws.

Compliance and Quality Assurance:

·        Ensure the practice adheres to all regulatory and compliance requirements.

·        Maintain a clean, organized, and safe office environment.

·        Implement and monitor quality control measures.

Technology and Equipment:

·        Oversee maintenance and functionality of office equipment and software.

·        Coordinate with IT support for any technical issues.

 

Qualifications:

·        Bachelor’s Degree

·        2 years experience as an Office Manager in a healthcare office or similar setting

·        Excellent organizational and multitasking skills.

·        Working knowledge of health insurance submission, billing and claims

·        Exceptional interpersonal and communication skills.

·        Computer proficiency

·        Ability to handle sensitive information with confidentiality.

·        Leadership skills with the ability to manage and motivate a team.

·        Excellent customer care. A positive, friendly, respectful attitude is a must

Salary & benefits:
