Duties and Responsibilities:

 

·        Supervise, coordinate, and schedule the daily activities of office staff

·        Establish work schedules, assign duties, monitor workloads, and ensure office operations are completed accurately and efficiently.

·        Train, mentor, and provide ongoing guidance to office staff on office procedures, customer service standards, document management, and brokerage policies.

·        Monitor staff performance, provide coaching and feedback, and participate in employee performance evaluations.

·        Implement and update office procedures and administrative workflows to improve operational efficiency and service quality.

·        Coordinate the processing of insurance applications, policy renewals, endorsements, cancellations, certificates of insurance, and related documentation for personal and commercial insurance products.

·        Review administrative documents for completeness and accuracy before submission to insurance carriers or licensed insurance advisors.

·        Ensure client records, policy files, and confidential information are accurately maintained in the brokerage management system and handled in accordance with privacy legislation and company policies.

·        Coordinate communications between clients, insurance advisors, insurance providers, and other stakeholders to facilitate timely policy servicing and issue resolution.

·        Monitor office correspondence, incoming inquiries, renewal reminders, and service requests to ensure prompt follow-up and customer satisfaction.

·        Assist management in implementing administrative policies, maintaining service standards, and ensuring compliance with brokerage procedures and applicable insurance regulations.

·        Order and maintain office supplies, equipment, and administrative resources required for daily operations.

·        Prepare and compile administrative reports, workflow statistics, and operational records for management review.

·        Assist in resolving administrative issues, customer concerns, and workflow bottlenecks while escalating complex insurance matters to management when appropriate.

·        Perform other related supervisory and administrative duties in support of the efficient operation of the insurance brokerage.

 

 

Requirements:

 

·        Completion of college program is required.

·        Level 2 General Insurance agent.

·        Strong knowledge of office administration and customer service practices.

·        Excellent organizational, leadership, and time management skills.

·        At least 1 year of supervisory or managerial experience in a related field.

·        Ability to supervise multiple administrative functions in a fast-paced insurance office.

·        Strong verbal and written communication skills.

·        Familiarity with all types of insurance plans (automobile, fire, life, property, medical, etc)

·        Proficiency with Microsoft Office and insurance brokerage management software (EPIC).

·        Proficiency in Applied Rating Services system

·        Proficiency in all insurance companies online quoting portals

·        Ability to maintain confidentiality and handle sensitive client information with professionalism.
